The Smart Ticketing Alliances takes the protection of personal data seriously, and uses its best efforts to ensure that it is processed in accordance with the principles and requirements set out in the General Data Protection Regulation (EU) 2016/679 (GDPR).

 

Purpose of the policy  

The purpose of this policy is to explain what personal data the Smart Ticketing Alliance collects and for which purposes, how it manages personal data, and to inform data subjects about their rights, when their organisations join the Smart Ticketing Alliance and other individuals with whom Smart Ticketing Alliances engages in the course of its operations. 

 

Data controllers

The joint data controllers within the Smart Ticketing Alliance are the Board members.

Smart Ticketing Alliance Membership 

 

Personal data is provided by organisations to the Smart Ticketing Alliance, when they apply to become a member or affiliated member. 

 

1. Personal data processed: The Smart Ticketing Alliances collects the following data when organisations apply to become members or affiliated members:

  • Name of organisation or company
  • Full name of representative
  • Full name of alternative representative
  • Phone number
  • E-mail addresses of all representatives
  • Legal address of the organisation/company
  • VAT number

This data is collected via an online registration form, using SurveyMonkey as a tool. 

 

2. Purpose and legal basis: The Smart Ticketing Alliance processes such personal data based on legitimate interest for the purpose of:  

  • Administering membership and follow-up actions; 
  • Maintaining regular contacts and providing members with relevant information; 
  • Informing about activities related to the Smart Ticketing Alliance such as the invitation to the annual General Assembly meeting or the dissemination of press releases, annual report and updates;
  • Facilitating communication,  
  • Managing member’s participation in working groups or other relevant work strands; 

 

Where a specific need arises, the Smart Ticketing Alliance will ask for consent to process personal data beyond these listed purposes. 

 

Interaction with other stakeholders 

 

1.     Personal data processed. The Smart Ticketing Alliance may obtain  personal data from various interactions directly with parties, or from publicly available databases. The stakeholders concerned may include, for example, European and national institutions and authorities, various business/sector organisations, prospective Smart Ticketing Alliance members, or journalists, and other stakeholders.  

Personal data will usually include: 

  • First name and surname;  
  • Position; 
  • Email, and phone number;
  • Organisation’s name, and address. 

 

2.     Purposes and legal basis. The Smart Ticketing Alliances processes this personal data based on legitimate interest for the purpose of maintaining communication and business relationships, such as to inform about its work and positions.  

 

Activates, meetings and events

 

1.     Personal data processed. The Smart Ticketing Alliance may collect personal data, including:

  • Name; 
  • Contact details;
  • Position; 
  • Organisation name, and address. 

when external meetings, workshops, conferences and other public events are organises by the Smart Ticketing Alliance or in cooperation with others. Occasionally, the Smart Ticketing Alliance might collect additional information, such as a photo or biographies. During events, the Smart Ticketing Alliance may record images, which may  be used on the  website, on social media pages, or in internal publications. Attendees have the right to object to their image being captured and published. 

 

2.     Purposes and legal basis. The Smart Ticketing Alliances process personal data based on legitimate interest, for the purpose of registration and identification, sending relevant practical information about the event, as well as follow-up messages, such as satisfaction surveys and similar, and for managing participation in the event. 

 

Correspondence 

 

1.     Personal data processed. When members or non-members communicate with the Smart Ticketing Alliance by email, postal mail, or in any other way the Smart Ticketing Alliance may retain the correspondence and the information contained therein. Personal data will usually include: 

  • First name and surname;  
  • Position; 
  • Email, and phone number;
  • Organisation’s name, and address; 
  • The content of the communication.

 

2.     Purposes and legal basis. The Smart Ticketing Alliances processes personal data based on legitimate interest for the purpose of responding, maintaining communication and its records. 


Newsletter

 

1.     Personal data processed. Individuals can sign-up to the Smart Ticketing Alliance’s newsletter, which is run via the system Newsltter2go, collecting the following personal data:

  • First name and surname;  
  • Email;

 

2.     Purposes and legal basis. The Smart Ticketing Alliances processes personal data based on legitimate interest for the purpose of disseminating its Newsletter.

The Smart Ticketing Alliance keeps personal data for as long as it is necessary to provide membership services, to pursue its mission, and to maintain business relationships.

The Smart Ticketing Alliance does not share personal data with third parties, unless the data subject requests it or expressly consents to it, except in the following cases:

 

  • With third party service providers whom the Smart Ticketing Alliance may engage with to provide services such as technical support for carrying out the activities;
  • With other Smart Ticketing Alliances members , Board members and the Chair in the context of its activities and working groups,  
  • With co-organisers or partners of events;

Data subjects have the following rights:

  • Correct personal data, if it is inaccurate or incomplete; 
  • Delete personal data, under certain conditions, if they are no longer necessary 
  • Object to processing of personal data;
  • Withdraw consent at any time; 
  • Portability of personal data, under certain conditions;
  • Complain to the Belgian Data Protection Authority.
